A century of pedagogy. Nobody could find the admissions page.

Before we touched anything, we audited every place a parent could discover, judge or inquire about the school — and every admin workflow eating teacher evenings.

Invisible on Google

Not in the local map pack for "private schools near me", with an incomplete Business Profile and 10-year-old campus photos.

Prospective families chose the school down the road.

A website that hurt admissions

A slow template site with a PDF prospectus and no way to inquire or book a tour on mobile.

Parents called a competitor instead.

A dated crest

Three different versions of the school crest across uniforms, signage and prospectus.

Felt like a 90s brochure, not a 2026 school.

Exam & grading drag

Teachers spending evenings scoring tests, chasing parent sign-off and typing up report cards by hand.

Lost nights, every single term.

It started with the crest.

Step through how the identity evolved from three mismatched clip-art crests into one brand system that holds up on a blazer, a bus livery and a tour-booking confirmation email.

Ridgefield Academy logo: brass ring, olive sprig, and serif wordmark

Ridgefield Academy, ready for the next century

A laurel-wreathed RA ligature and a thin gold rule meet a classical serif. The crest reads from a blazer badge down to the Instagram avatar on a phone lock screen.

  • Custom crest, not a stock mortarboard icon
  • Forest green, gold and ivory that hold up on uniforms
  • Readable from the campus gates down to a 32px favicon
A · Open book & torch
B · Shield & mortarboard
C · RA ligature + laurel wreath ✓ chosen

Three directions from one story

A discovery workshop surfaced the school's two roots: 130 years of classical teaching and a modern STEAM curriculum. We sketched three directions around that story.

  • A: book & torch, but felt generic to any academy
  • B: shield & cap, but read as municipal, not independent
  • C: RA ligature inside a laurel wreath carried the whole story in one mark
Ridgefield Academy logo on a dark ground

The same crest, reversed

Ivory wordmark, gold laurel and gold rule on deep forest green, ready for blazer embroidery, campus signage, acceptance letterhead and the Instagram feed.

  • Works from campus gates to 32px favicon
  • Primary, stacked and icon-only versions
  • Full brand guidelines handed over
Ridgefield Academy mark on a dark ground

Built for every surface

A reversed, circular mark for the admissions email signature, the Instagram avatar and the blazer badge, tested on uniforms, bus livery and the acceptance envelope before launch.

  • Reversed and single-color versions
  • Clear space and minimum-size rules
  • Print-ready and digital file formats

Then we built a website that books school tours.

A new mobile-first site with program pages, one-tap tour booking and a secure admissions application, replacing the slow template site and the PDF prospectus.

Then AI took the busywork off teacher evenings.

Automation handles the repetitive admissions questions, exam scoring and parent follow-ups, so teachers focus on students and the classroom.

AI admissions assistant

Answers hours, programs, tuition, uniform, after-school and transport questions 24/7 on the website and Instagram DMs, and hands over to the admissions team when needed.

AI exam scoring & grading

Scan short-answer and MCQ assessments; AI drafts rubric-aligned scores and feedback for teachers to approve. Cuts marking time by up to 80%.

Parent review & referral workflow

After each term, opt-in parents get a thank-you message with a direct link to leave a Google review or refer a family.

Admissions CRM & pipeline

Every inquiry, tour and application lands in one pipeline, with follow-up reminders for the admissions team.

Hi! My daughter is 3. Do you have afternoon openings for fall? Yes! Our Primary 1 program (ages 3–6) has afternoon openings for fall. Half-day dismissal is 12:15 PM, with optional lunch bunch till 2:30 PM. Want me to open the tour calendar? Yes, Thursday or Friday would be ideal Thursday 10:00 AM or Friday 2:00 PM. I've held Thursday 10:00 for the Lee family. A confirmation goes out by email with campus parking details. ✓ Routed to admissions CRM

And then the growth compounded.

Each piece fed the next: brand made the content more credible, content made the admissions ads work, and the website turned attention into tour bookings and enrolled students.

One Growth OS team. Every deliverable.

No freelancers to chase. One point of contact coordinated six specialist teams.

01

Dedicated Growth Assistant

Daily point of contact: campus photo and listing updates, social scheduling, parent review replies and weekly admissions reports.

02

Key Growth Manager

Owned the admissions-cycle roadmap, priorities and monthly results reviews with the Head of School.

03

Six Specialist Teams

Brand, web, video, social media, digital marketing and AI automation, each shipping its chapter of this story.

04

The Head of School

Approved each phase, then got back to teachers, students and families.

You're not short on great teaching. You're short on time.

Between curriculum, parent evenings, board meetings and marking, your digital presence gets whatever is left of the week. Here's where that quietly costs you students and teacher hours.

Visibility

Hard to find on Google and Maps

An incomplete Business Profile and thin program content mean searching parents find the school down the road first.

Website

A website that doesn't work on a phone

PDF prospectuses, outdated faculty bios and slow pages send parents back to search, or straight to a competitor's tour booking page.

Inquiries

Admissions messages missed during term

Calls, DMs and tour requests arrive during class, and whoever responds first usually wins the family.

Marketing

Marketing spread across five vendors

A freelancer for Instagram, an agency for the ads, a parent volunteer for the website. Nobody owns the result, so admissions ends up coordinating all of them.

Intake

Tour booking takes too many steps

Buried booking links, broken PDF forms and no clear next step make a ready-to-enroll family close the tab.

Operations

Grading & reports eat teacher evenings

Scoring MCQ tests by hand, chasing parents for sign-off, re-typing report cards every term, every single year.

Low-leverage work steals from the things only teachers can do: the lessons, the pastoral care and the student experience.

Everything that turns parent searches into booked tours and enrolled students.

Website, admissions intake, visibility, marketing, AI exam automation and parent follow-up, delivered together by one team that understands how families choose a school.

What founders ask before they install.

No. A VA is a single person waiting for instructions. The Growth OS is a strategic layer (Key Growth Manager) plus a dedicated executor (Growth Assistant) plus six specialist production teams already integrated and working together from day one. Completely different model.
Agencies need you to provide direction, approve everything, and project manage the relationship. With the Growth OS, the Key Growth Manager sets the direction, the Growth Assistant executes, and the six teams produce. You make decisions you don't manage the machine.
Sales outreach and follow ups, social media posting and engagement, cold email campaigns, CRM updates, pipeline coordination, inbox triage, vendor communication, weekly reporting, campaign execution, and calendar management → everything that's growth adjacent and doesn't require your direct judgment.
No. The Key Growth Manager manages the Growth Assistant and coordinates all six specialist teams. You interact with your Growth Assistant daily and attend one weekly strategy session with your Key Growth Manager. That's it.
Most founders are matched and have their Growth Assistant running within 5 7 business days of their diagnostic call. The first week is onboarding and framework setup. By week two, full execution is underway.
A single US marketing hire costs $60,000 $100,000/year in salary alone before benefits, payroll tax, equipment, and management overhead. The Growth OS delivers a full team plus a strategist at roughly one-third that cost, with no employment risk, no ramp time, and no HR headaches.
